Plan
Build and change the plan, position by position, with every cost worked out. 36 features.
- Working plan
- One live plan that every operational screen shows, costed over the current fiscal year and running to the planning horizon.
- Change control on approved positions
- Once a plan is approved, an edit that trips an approval rule is proposed and routed, and the position changes only when approved; other edits save at once.
- Plan grid
- A table of every position in the plan, with filters and a click-through side panel.
- Positions and By month views
- Switch the grid between one row per position and one column per month, showing FTE or cost by month.
- Group by
- Group the grid by org unit, cost centre, location, legal entity or status.
- Personal column choice
- Each person chooses and orders the grid's columns, and Kivos remembers them.
- Column definitions in the grid
- A ? at the end of the header row explains each column, with a link to the Dictionary.
- Position side panel
- Details, the year's cost with its components, and actions such as Edit, Mark as leaver and Eliminate.
- Edit a position
- Change a position's fields, with the salary range for its level shown alongside.
- Check the change before submitting
- See what changes, cost before and after, why approval is needed, who approves and the envelope effect.
- Add a position
- Add a new position or a backfill anywhere in the plan, routed to approval where the rules require.
- Moves between org units
- Mark a new or eliminated position as a move so the bridge shows it as a move, not a hire and a leaver.
- Request a new cost centre
- Ask for a new cost centre instead of picking one, and Kivos notifies the finance approver in the chain.
- Searchable long lists
- Org unit, job family, location, legal entity and cost centre lists narrow as you type, with a count of matches.
- Mark as leaver
- Record a leaving date and note, and choose to add the backfill now or later.
- Backfills
- Replace a leaving person's position, with its details copied in from the position being backfilled.
- Eliminate a position
- Remove a position from a chosen month, with the cost effect, approvers and envelope shown first.
- Bulk change
- Change cost centre, location, start month or salary by a percentage for many positions in one submit.
- Download selected rows as Excel
- Tick rows in the grid and download them.
- As now and As approved
- View an approved version exactly as it was approved, or as it is now.
- Cost build-up per position
- A position's cost broken into base salary, employer tax and social charges, pension, benefits, bonus, equity, recruitment fee and relocation.
- Run rate and in-year cost
- Every position and total shows annualised run rate and cost in the year, with fixed definitions.
- Multi-currency positions
- Each position is costed in its own currency and translated to the reporting currency at the plan version's rates.
- Local or reporting currency view
- Switch figures between local and reporting currency where it makes sense.
- Dated changes in drafts
- A change to pay, FTE or employment type takes effect from a chosen month.
- Merit applied correctly
- A merit increase applies to the salary in force in its month, so it is never applied twice.
- Cost drivers
- Merit, employer tax, pension and benefits set by place, inherited from global or market level unless a country sets its own.
- Cost driver impact preview and history
- See what a rate change re-costs before applying it, and every past rate with who and when.
- Salary ranges
- Minimum and maximum salary by place, org unit, job family, level and band, from a chosen month.
- Salary range cost estimate
- A new request with no salary is costed from its salary range midpoint.
- Out-of-range check on range changes
- Changing a range lists the positions that would fall outside it.
- Employing entities
- Each location has a default legal entity that decides employer social charges and pension for new positions.
- FX rates by version and month
- Exchange rates belong to each plan version, edited month by month.
- Excel-style FX editing
- Select, copy and paste rates to and from Excel, with undo, in an edit mode.
- FX rate upload into several versions
- Load one rates file into several open versions, with a review and flags for large moves.
- Planning horizon
- Extend or shorten how far ahead the company plans, with a refusal that lists what stands in the way.
