Requests and approvals
Every change follows your rules, from the first ask to the final decision. 31 features.
- Ask for a position
- Business leaders who cannot edit the plan request a new position with a business driver and justification.
- Cost estimate on requests
- The requester sees the estimated cost of their own request before sending it.
- Your requests
- A table of your own requests with their status and a side panel for each.
- Finance challenge
- Finance reviews each position request and can accept, reject, defer or accept with changes.
- Approve with changes
- An approver changes level, start or location, sees the new estimate and tells the requester what changed.
- Defer with automatic expiry
- A deferred request stays open for a set period, then Kivos rejects it automatically and records why.
- Ask again
- Reopen a deferred request already filled in.
- Approvals inbox
- Every request waiting on you, of every kind, in one table with a side panel.
- Approve, return or reject
- Decide each step with an optional note; a rejection needs a reason the requester sees.
- Return for information
- An approver asks a question and the request comes back to the same step once answered.
- Delegate an approval
- Pass a step to someone whose role and scope let them approve it, with a Delegated by me tab.
- Decide several at once
- Tick several requests and approve, return, reject or delegate them with one note.
- Grouped scenario adoption
- The changes from adopting a scenario arrive as one grouped row to approve all or some.
- Envelope change approvals
- Changes to a cost ceiling can be routed for approval under their own rule.
- Approval history window
- Show history opens every step, done and waiting, with comments.
- Changes register
- Every proposed and applied change to a position, newest first, with All, Raised by me and Waiting on me tabs.
- Withdraw, and Withdraw and edit
- The raiser can pull back a change, or pull it back and reopen it in the Plan grid to edit.
- Answer a returned change
- The raiser replies and the change goes back to the same approver.
- Approval rules (triggers)
- Decide when a change needs approval again, for example cost or start date beyond a tolerance, contract type, FTE, level, or salary outside its range.
- Approval matrix and chains
- Decide who approves by change type, org unit, country and annual cost, in steps.
- Draft and publish approval rules
- Edit rules in a draft, check for gaps and overlaps, and publish from a chosen date.
- Chain exceptions
- Give a change type its own chain, or add an exception for an org unit, a country or both.
- Approvers from the approval tree
- A step can name the head of the org unit or of its parent instead of a named person.
- Publish blocked on conflicts
- A draft that names someone who has left, or has other conflicts, cannot be published until fixed.
- Test a change
- Run a sample change through the rules to see whether it needs approval and who approves.
- Plan version approval routing
- Plan versions are approved directly or routed through a chain.
- Envelopes (cost ceilings)
- One cost ceiling per org unit per fiscal year, measured on run rate at year end.
- Envelope states
- Within ceiling, Near limit, Ceiling breached, Past year, shown on requests, approvals and screens.
- Envelope impact on every request
- Shows what is left if all pending requests and this one are approved.
- Copy envelopes to another year
- Copy a year's ceilings, changed by a percentage up or down.
- Envelopes optional
- An Administrator can turn envelopes off for the company; existing ones are kept.
