Two ways in, one set of rules

Business, Finance and HR work in Kivos. Their AI assistants can ask Kivos too. Both come through the same door, signed in as the person.

Everyone sees their part

Each person sees the parts of the organisation they are responsible for, and individual pay only where you allow it.

One meaning, your rules

Every measure has one definition. Your fiscal year, currencies, cost rules and approval routes apply to every number, wherever it is asked.

One governed plan

Planning, approvals and analysis run on the same plan, so Business, Finance and HR always see the same figures.

Everything on the record

Every change, approval, report and question is recorded against a name, so you can always see who did what.

One pane of glass

The same plan, the same rules and the same record for everyone, whether they click in Kivos or ask from their AI assistant.

Kivos puts Business, Finance and HR on one governed plan. Work in Kivos or from your AI assistant, and see who decided what, who can see what, and how every number is calculated.

Plan, decide and understand, on one governed plan.

Each step uses the same figures, the same rules and the same record.

Plan

Build the plan position by position, with every position's full cost worked out as you go.

  • Every position, filled or open, in one grid.
  • Each position's cost built up from your own cost rules by country.
  • Add a position and see its cost, who approves it and the envelope before you submit.
Planning features
The dashed line shows the scenario with its levers. Save it as a new scenario.
  1. Scenarios: what-if copies of your plan, to compare and adopt when you choose.
  2. Start from any plan, give it a name, and open it in the Plan grid.
  3. Change it in the Plan grid. Nothing touches the Working plan until it is adopted.
  4. Tick the scenario and compare it with the Working plan.
  5. Try levers across the whole horizon: hiring delay, salary inflation and attrition.
  6. The dashed line shows the scenario with its levers. Save it as a new scenario.
  7. Every position, filled or open, with its full cost.
  8. Open one to see its cost built up: salary, employer taxes, pension and benefits.
  9. By month: the cost of every position, month by month.
  10. Add a position anywhere in the plan.
  11. Before you submit: the cost before and after, who approves it, and the envelope.

Governance and decisions

A request follows your approval route from the first ask to the final decision, and every step goes on the record.

  • Business leaders ask for a position and see its estimated cost before they send it.
  • Approvers see what it asks for, why, what it costs and the envelope.
  • Who decided what, and when, recorded against a name.
Governance features
Approve: it joins the Working plan as Budgeted, and the decision is on the record.
  1. A business leader asks for a position.
  2. The position and why it is needed. Kivos estimates the cost from the salary range.
  3. Before sending: the estimated cost, the envelope and who reviews it.
  4. The request arrives in the approver’s inbox.
  5. The approver sees what it asks for, why, and what it costs.
  6. Approve: it joins the Working plan as Budgeted, and the decision is on the record.

Insights and analytics

See how your workforce and its cost moved between any two plans, and open any bar to see the positions behind it.

  • A cost bridge and a workforce bridge, on the same plan.
  • One definition behind every measure.
  • The same answers from your AI assistant, within your permissions.
Insights features
Prior-year hires: last year’s starters, at their cost for the whole year.
  1. Choose where the cost started and where it ended.
  2. Kivos builds the bridge: every movement from the budget to the latest estimate.
  3. Prior-year hires: last year’s starters, at their cost for the whole year.

Questions your IT team will ask.

Kivos becomes a single pane of glass for workforce decisions, so it has to earn IT's trust first. Here are the straight answers.

How do people sign in?

Single sign-on with OpenID Connect and PKCE through a managed identity service. Seventeen named capabilities decide who can plan, approve, see cost or administer. Connecting your own identity provider is coming soon.

Where does our data live?

In the UK: the application on Microsoft Azure UK South, the database on Neon PostgreSQL in London, and sign-in through an Auth0 UK tenant.

Is our data kept apart from other customers?

Yes. Every record carries its customer in its database key, so one customer's data cannot be joined to another's.

Who can see salaries?

Individual pay only to roles you allow. No cost figure is shown for fewer than three people, and you can raise that minimum but never lower it.

What can AI assistants do?

Read, never write, through eight tools over MCP, as the person who asks and within their permissions. MCP is off until your Administrator turns it on. Every question is rate limited and recorded.

Is there an audit trail?

Yes. Changes, reports, exports and every question from an AI assistant are recorded against the person behind them.

How does our data get in and out?

HR data is checked before it loads. Ledger actuals load monthly and every line is checked against your master data. Reports export to Excel.

Has it been independently tested?

Every change runs automated static analysis, secret scanning and dependency vulnerability scanning. Independent penetration testing and certification are coming soon.

Is it accessible?

Kivos is designed and developed toward WCAG 2.2 Level AA.
